Terms & Conditions

Terms & Conditions

These Terms & Conditions apply to bookings made with Gower Surf Academy Ltd.

By making a booking, you agree to these Terms & Conditions. If you are booking on behalf of other participants, you are responsible for making sure they understand the booking details, safety requirements, and relevant terms.

1. Booking Confirmation

A booking is confirmed once Gower Surf Academy Ltd has accepted the booking and payment, deposit, or written confirmation has been received.

The person making the booking accepts responsibility for the booking and for providing accurate information for all participants included in the booking.

All participants may be required to complete a declaration or consent form before taking part in any surf lesson or activity. Participants may not be allowed to take part if the required forms are not completed.

2. Payment

Payment terms will be confirmed at the time of booking.

For standard lessons, payment is usually required at the time of booking.

For larger group bookings, schools, youth groups, stag and hen parties, corporate groups, university groups, or private group sessions, a deposit or full payment may be required to secure the booking.

If a balance payment is required, this must be paid by the agreed date. Gower Surf Academy Ltd reserves the right to cancel a booking if payment is not received on time.

3. Standard Lesson Cancellation Policy

For standard surf lessons and small group bookings, cancellations must be made at least 24 hours before the session start time to be eligible for a refund or rearrangement.

Cancellations made less than 24 hours before the session may be non-refundable.

Where possible, Gower Surf Academy Ltd will try to help customers rearrange their booking, subject to availability.

4. Group Booking Cancellation Policy

These terms apply to larger group bookings. This includes schools, youth groups, stag and hen parties, corporate groups, university groups, and private group sessions.

A “group booking” means any booking where Gower Surf Academy Ltd reserves several spaces, instructors, equipment, or session time for one group.

Group bookings take extra planning. We may need to reserve instructors, equipment, and session space in advance. We may also turn away other customers once your booking is confirmed.

For this reason, the following cancellation policy applies:

  • Cancellations made 14 days or more before the session can receive a full refund.
  • Cancellations made 7–13 days before the session can receive a 50% refund.
  • Cancellations made less than 7 days before the session may be non-refundable.

Where possible, we may offer to move the booking to another date. This depends on availability and cannot be guaranteed.

5. Changes to Bookings

Gower Surf Academy Ltd will try to accommodate reasonable changes to bookings where possible.

Changes are subject to availability, instructor schedules, equipment availability, tides, and sea conditions.

For standard lessons, customers should request changes as early as possible.

For group bookings, please tell us as soon as possible if your group numbers change.

If you reduce the group size less than 7 days before the session, we may still charge for the original number. This is because instructors and equipment may already have been arranged.

Additional participants may be added where space, equipment, and safe instructor ratios allow.

6. Weather, Tide, and Sea Conditions

Surfing is weather and tide dependent.

Sessions can still run in rain. Participants will be getting wet during the session anyway.

However, safety always comes first. Gower Surf Academy Ltd may cancel, postpone, shorten, or adjust a session if conditions are unsafe or unsuitable. This may include high winds, extreme weather, thunder and lightning, unsafe sea conditions, poor water quality warnings, or tides that prevent the session from running safely.

If Gower Surf Academy Ltd cancels a session due to unsafe conditions, we will try to offer an alternative date or credit. If no suitable alternative can be arranged, a refund may be provided.

Gower Surf Academy Ltd reserves the right to make the final decision on whether conditions are suitable for a session.

7. Late Arrival

Participants and groups must arrive at the agreed meeting time.

If you arrive late, your session may be shortened. Sessions are planned around tide times, instructor availability, safety briefings, and other bookings.

Refunds will not usually be offered for reduced session time caused by late arrival.

8. Participation and Safety

Surfing carries a level of risk, even when supervised by qualified instructors.

All participants must follow safety instructions given by Gower Surf Academy Ltd staff and instructors.

Gower Surf Academy Ltd reserves the right to refuse participation or remove a participant from a session if they:

  • fail to follow safety instructions;
  • behave in a way that puts themselves, staff, or others at risk;
  • appear to be under the influence of alcohol or drugs;
  • are physically or medically unsuitable to take part;
  • provide false or incomplete information.

No refund will usually be given where a participant is removed or refused participation due to unsafe behaviour or failure to follow instructions.

9. Swimming Ability, Fitness, and Medical Conditions

Participants must have a suitable level of water confidence for the activity.

Participants should be able to swim at least 50 metres. If a participant cannot swim 50 metres or has limited water confidence, this must be made clear before booking.

Participants must tell Gower Surf Academy Ltd about any medical conditions, injuries, illnesses, allergies, disabilities, additional needs, medication, or swimming ability concerns before the session.

If you are unsure whether you or someone in your group can safely take part, you should seek medical advice before booking.

Participants must not take part if they are under the influence of alcohol, drugs, or medication that may affect their ability to participate safely.

10. Children and Young People

For children’s sessions, parents, guardians, schools, or group organisers must provide accurate information about each child.

This includes medical conditions, allergies, additional needs, swimming ability, emergency contact details, and any relevant behavioural or support needs.

For schools, youth groups, and organised children’s groups, the group organiser is responsible for providing suitable adult supervision before and after the surf session.

Gower Surf Academy Ltd instructors are responsible for delivering the surf session itself. They are not responsible for general childcare outside the agreed session time.

11. Equipment

Gower Surf Academy Ltd will provide suitable surf equipment for lessons, including surfboards and wetsuits where required.

Participants must use equipment responsibly and follow instructor guidance.

Participants should report any damage or issues with equipment as soon as they become aware of them.

Gower Surf Academy Ltd takes reasonable steps to keep equipment safe and suitable for use.

12. Personal Belongings

Participants are responsible for their own belongings.

Gower Surf Academy Ltd is not responsible for loss, theft, or damage to personal belongings unless caused by negligence by Gower Surf Academy Ltd or its staff.

We recommend that valuables are not brought to sessions.

13. Liability

Gower Surf Academy Ltd does not exclude or limit liability for death or personal injury caused by negligence.

Gower Surf Academy Ltd is not responsible for injury, loss, damage, or expense caused by:

  • failure to follow safety instructions;
  • failure to disclose relevant medical or safety information;
  • unsafe behaviour by a participant;
  • conditions outside our reasonable control;
  • actions of third parties.

Nothing in these Terms & Conditions affects your statutory rights.

14. Photography and Marketing

Gower Surf Academy Ltd may occasionally take photos or videos during sessions for marketing, social media, website, or promotional use.

If you do not want yourself or your child to be photographed or filmed, please tell us before the session.

We will respect any request not to use images of a participant.

15. Prices

Prices are shown on the website or confirmed at the time of booking.

Gower Surf Academy Ltd reserves the right to change prices at any time. Any price changes will not affect bookings that have already been confirmed.

16. Website Accuracy

Gower Surf Academy Ltd makes reasonable efforts to keep website information accurate and up to date.

However, information on the website may occasionally contain errors or become out of date. If you are unsure about any booking details, prices, dates, or session information, please contact us before booking.

17. Gift Vouchers

Gift vouchers are valid for the period stated on the voucher or at the time of purchase.

Gift vouchers must be booked in advance and are subject to availability, weather, tide, and sea conditions.

Gift vouchers are not usually exchangeable for cash.
