Group Booking Terms and Conditions
These terms apply to larger group bookings, including but not limited to schools, youth groups, stag and hen parties, corporate groups, university groups, and private group sessions.
For the purpose of these terms, a “group booking” refers to any booking where a larger number of spaces, instructors, equipment, or session time is reserved specifically for one group.
Payment and Booking Confirmation
A group booking is only confirmed once the agreed payment, deposit, or written confirmation has been received by Gower Surf Academy.
By confirming a group booking, the organiser accepts responsibility for the booking and agrees to the cancellation terms set out below.
Cancellation Policy for Group Bookings
Due to the planning required for group bookings, including instructor scheduling, equipment allocation, and the loss of availability for other customers, group bookings are subject to the following cancellation terms:
- Cancellations made 14 days or more before the booked session date will be eligible for a full refund.
- Cancellations made 7–13 days before the booked session date will be eligible for a 50% refund.
- Cancellations made less than 7 days before the booked session date may be non-refundable.
Where possible, Gower Surf Academy may offer to move the booking to an alternative date, subject to availability, but this cannot be guaranteed.
Changes to Group Numbers
If the number of participants changes, the organiser must inform Gower Surf Academy as soon as possible.
Reductions in group size made less than 7 days before the session may still be charged at the originally agreed number, as instructors and equipment will already have been allocated.
Additional participants may be added where space, equipment, tide conditions, and instructor ratios allow.
Weather and Sea Conditions
Surf sessions may continue in rain, as participants will be getting wet during the session.
However, Gower Surf Academy reserves the right to cancel, postpone, or adjust a session if conditions are unsafe. This may include extreme weather, high winds, unsuitable sea conditions, thunder and lightning, or tides that prevent the session from running safely.
If Gower Surf Academy cancels a session due to unsafe conditions, the group will be offered an alternative date where possible. If no suitable alternative can be arranged, a refund will be provided.
Late Arrival
Groups are expected to arrive at the agreed meeting time.
Late arrival may result in a shortened session, as sessions are planned around tide times, instructor availability, and other bookings. Refunds will not normally be given for reduced session time caused by late arrival.
Participant Requirements
All participants must be able to follow safety instructions and must inform Gower Surf Academy of any relevant medical conditions, injuries, additional needs, or swimming ability concerns before the session.
For children’s groups, the organiser is responsible for ensuring appropriate adult supervision outside of the surf lesson itself, including before and after the water session.
Agreement
By confirming a group booking, the organiser confirms that they have read, understood, and accepted these Group Booking Terms & Conditions.
